Pi Track Smart Timetracking for Jira icon{name="custom PiTrack"} Pi Track is a flexible time-tracking and reporting solution for Jira. Installation Installation Please follow the steps below to install icon{name="custom PiTrack"} Pi Track to your Jira Data Center instance 1. Log into your instance of Jira as an admin. 2. Select the Settings drop down menu and select Manage apps . 3. Select Find new apps from the left side menu. 4. Once the screen loads, you can type icon{name="custom PiTrack"} Pi Track in the search bar to find the appropriate app version. 5. Select free trial to begin the trial or buy now to purchase a license for icon{name="custom PiTrack"} Pi Track . 6. Select accept and install in the modal that opens up to confirm the app installation. 7. icon{name="custom PiTrack"} Pi Track begins to download and you’ll be prompted to log into your MyAtlassian account. 8. Enter your credentials and select Generate license . 9. A license key will be generated, and select Apply license to get started with the app. If you're using an older version of UPM, you can copy and paste the license into your Jira instance. You’re now all set to start using the app. Configuration Setting up Jira permissions The plugin uses standard Jira time-tracking permissions, extended with custom permissions provided by icon{name="custom PiTrack"} Pi Track . Delete Own Worklogs icon{name="custom cross"} Restricted Must not be granted. Allows direct deletion of work logs and bypasses \ pi-track Pi Track workflow. Edit Billable Time icon{name="custom star"} Custom Allows editing billable time in time logs. Typically granted to project managers responsible for billability decisions. Log Unapproved Time icon{name="custom star"} Custom Allows creating, editing, and submitting time log drafts, and editing rejected time logs. Do not grant together with Delete Own Worklogs , Edit Own Worklogs , or Work On Issues . Log Unapproved Time for Others icon{name="custom star"} Custom Allows creating time log drafts and submitting them for approval on behalf of other users. View Billable Time icon{name="custom star"} Custom Allows viewing billable time values in time logs. Edit All Worklogs icon{name="custom check"} Standard Grants the virtual Time Log Reviewer permission. Edit Own Worklogs icon{name="custom cross"} Restricted Must not be granted. Allows direct editing of work logs and bypasses Pi Track controls. Work On Issues icon{name="custom cross"} Restricted Must not be granted. Allows direct creation of work logs in Jira. Recommended permissions setup To ensure smooth icon{name="custom PiTrack"} Pi Track operation please setup the following permissions logic for all projects, which will utilize icon{name="custom PiTrack"} Pi Track timetracking logic. Disable the following permissions for all roles Delete Own Worklogs Edit Own Worklogs Work On Issues Enable Log Unapproved Time for all roles that are expected to log their own time. Enable Log Unapproved Time for Others for roles that are allowed to log time on behalf of other users. Enable the following permissions for roles responsible for time log review and management (typically Team Leads and Project Managers) Delete All Worklogs Edit Billable Time View Billable Time Edit All Worklogs Disabling the built-in Work Log issue tab [!NOTE] The plugin adds its own Work Log tab, which is shown when the Log Unapproved Time permission is not configured for the project. If the steps below are not completed, some projects may display two Work Log tabs side by side. To disable the built-in Jira Work Log tab 1. Log in to your Jira instance. 2. Open Jira Administration (gear icon) and select Manage apps . 3. In the left panel, navigate to Atlassian Marketplace → Manage apps . 4. Set Filter visible apps to System . 5. Search for Issue Tab Panels Plugin . 6. Expand the plugin details and open the list of its modules. 7. Locate Work Log Tab Panel , hover over it, and click Disable . Excel export customization On plugin startup, the base Excel template is copied to . The template is initially blank. If the file already exists, it will not be overwritten. To modify the template, a Jira administrator must disable the plugin, update the spreadsheet file, and then enable the plugin again. When generating a report, the Excel renderer detects the first empty row in the template and starts populating the report data from that point.
Setting up project timetracking New projects icon{name="custom PiTrack"} Pi Track provides several configuration options that let you tailor the time-logging workflow for your project. To configure time-logging rules, open Project Settings → Timesheet Settings . The following parameters are available Timesheet Mode - defines approval rules for time logs. Available options are Auto-approve Approve manually Work Log Policy - defines whether Jira work logs will be created for Pi Track time logs. Create Work Log for time log in any status, except Draft - all time logs except drafts will appear in Jira’s built-in reports and other plugins. Create Work Log for Approved time log - only approved time logs will appear in Jira’s built-in reports and other plugins. Do not create Work Log - time logs created in Pi Track will not appear in Jira’s built-in reports or other plugins. Billable Hours Behavior - defines how billable hours are handled. Available options are All hours are billable All hours are non-billable Manual - all time logs are billable by default, but users with the Edit Billable Time permission can adjust the billable amount for each time log. Allowed Issue Types for Add Time - specifies which issue types allow time logging. Add Time Behavior for Closed Tasks - defines whether users can log time against closed issues. Existing projects For existing projects, you may also want to migrate your current Jira work logs into icon{name="custom PiTrack"} Pi Track work logs. To do this, navigate to Administration → Issues → Timesheet Configuration → Import , select the project you want to migrate, and click Import .
Logging time Time logging can be initiated from multiple locations, including Jira header, issue views, three-dot menus, and time reports. ------------------------------------------------------------------------------------------------------------------------------------------------------------- ------------------------------------------------------------------------------------------------------------------------------------------------------------- ------------------------------------------------------------------------------------------------------------------------------------------------------------- To add time, click the Add Time button or select the appropriate cell in a report. This opens the time-logging dialog. ------------------------------------------------------------------------------------------------------------------------------------------------------------------- ------------------------------------------------------------------------------------------------------------------------------------------------------------------- In this dialog, you can choose whether to log time for a single day or a date range, decide how the remaining estimate should be updated, enter a work description, and either save the time log as a draft for later changes or submit it for approval. Finally, you can use the built-in Timer available in the Issue Details view. Click Start Timer to begin tracking time. You can then click the timer to log your time, use Pause to temporarily stop it, or select Reset to clear the timer.  
Reporting icon{name="custom PiTrack"} Pi Track adds a Time Reports menu item to the Jira header. This menu provides access to standard time reports available to all users, recently used reports, and actions to view all reports or create new ones. Standard Time Reports The following standard reports are available to every user My Time Logs This Week - a detailed list of time logs for the current week. My Time Logs Last Week - a detailed list of time logs for the previous week. Time Logs on Project Lead by Me - review time logs for projects where you have the Project Lead role. Time Logs for Review - time logs pending your approval. Daily Time Logs This Week - a matrix-style report that supports lightweight time logging for the current week. This report is recommended for use as a Jira dashboard gadget. My Draft and Rejected Time Logs - a detailed report showing time logs that require changes from you. Reports list Click View All Reports to open a page showing all icon{name="custom PiTrack"} Pi Track reports available to you, including both your own and shared reports. From this page, you can search for reports, open them, or manage reports you created by configuring, cloning, or deleting them. [!TIP] Each timesheet report can be exported to Excel. Just open the report and click Export → Excel . Create report Click Create Report to open a dialog where you can select one of the available report views. The selected view can be changed later. Table View provides the most detailed view and supports deep customization. Matrix view groups data into a compact table format. Daily view is optimized for improved date readability. After selecting a view, you will be taken to the report configuration screen. The configuration screen contains three tabs General , View , and Share . General - set the report name and description, choose which time logs to include (approved, pending, draft, or rejected), define the reporting period, include or exclude specific users, and select Jira issues using a saved filter. View - configure the report layout, choose which fields to display, and define sorting and grouping rules. Share - control who can view or edit the report you created.
